What the Best Intranets Get Right

The word "intranet" still conjures a beige link directory that nobody visits voluntarily. The best ones have shed that reputation entirely, and looking at what they share is more instructive than any feature checklist.

They start from the employee's day, not the org chart. A finance manager and a warehouse supervisor need radically different things, and great intranets surface the relevant tools, documents, and people based on role and context rather than forcing everyone through the same generic homepage. Personalization here isn't a luxury; it's the difference between a tool people open and one they avoid.

They make search work. Internal search is notoriously bad, and a directory you can't search is just a filing cabinet with a worse interface. Strong intranets invest in findability — good metadata, sensible structure, and results that actually rank the document you needed first. When people trust search, they stop bookmarking everything in a panic.

They treat communication as two-way. The best examples aren't broadcast channels where leadership talks and everyone else listens. They build in recognition, feedback, and genuine community spaces, which turns the intranet from a noticeboard into somewhere people belong.

And crucially, they're maintained. An intranet rots faster than almost any other internal tool, because outdated information actively misleads. The standout examples assign clear ownership, prune dead content, and measure usage honestly. The lesson across all of them is simple: an intranet succeeds when it earns its place in the daily routine rather than demanding it.
